Data Export Policy

What a standard export contains, how to ask for one, and what R3 realistically commits to.

1. Your records are yours

R3 does not hold your records hostage. You can request a standard export of your data at any time while your account is active, and during the agreed wind-down period after service ends.

Requests are submitted from Subscription in your client portal, or by email. No phone call is required and no retention conversation is imposed as a condition of exporting.

2. What a standard export includes

Where reasonably available from R3's systems, a standard export includes:

  • CSV or another common machine-readable format for core tabular client records — horses, ownership positions, race results, costs and owner returns, and similar client records held in your account;
  • documents you provided to R3 that are still held in your account, in their existing format;
  • reports R3 has published to your account, in their existing format.

R3 cannot export data it does not hold. If a record was never provided to R3, or was never captured in your account, it cannot appear in an export.

3. What is not part of a standard export

Bespoke reconstruction, transformation, reformatting, mapping into another vendor's schema, or supervised migration into another platform is separate work.

That work can be quoted separately and is only performed after you accept a written quote. Nothing is charged for it automatically.

Internal R3 working notes, security and audit records, and information about other clients are not included.

4. How a request is handled

R3 verifies that the request comes from a person with authority for the account before releasing data. That check protects your portfolio.

R3 will confirm the scope with you where a request is ambiguous, and will tell you if part of what you asked for is not held.

5. Service targets

Target acknowledgement: within 1 business day of receiving the request.

Target delivery of an ordinary standard export: within 10 business days.

These are service targets, not guaranteed service levels. Identity and authority checks, unusual volume, or genuine complexity can extend delivery; R3 will tell you if that happens and give a realistic revised estimate.

R3 is a solo-operated service. Response targets are reasonable-efforts service targets, not guaranteed service levels.

6. Cost

A standard export of your own records is provided as part of your subscription. Only bespoke work described in section 3 attracts a separately accepted quote.

7. Your rights

Where applicable, rights under the Privacy Act (including access and correction rights) apply in addition to this policy. Your rights under the Australian Consumer Law are separate from and additional to this policy.

Nothing on this page limits or excludes rights you have under the Australian Consumer Law or other laws that cannot lawfully be excluded. Where any wording here conflicts with those rights, those rights prevail.
