AI & Fair Use Policy

What the R3 Assistant is for, what it is not, and the limits that keep the platform reliable and secure.

Version and effective date: 17 August 2026

1. The R3 Assistant is assistive and read-only

The R3 Assistant helps you find and understand information already held in your account. It is not a system of record and it does not replace your reports, statements or source documents.

AI output can be incomplete, out of date or simply wrong. Always confirm anything material against the underlying records before relying on it.

R3 currently uses AI only as an assistive tool. R3 does not intentionally use AI to make decisions that could reasonably be expected to significantly affect an individual's legal rights or interests. If that changes, this policy and R3's customer disclosures will be updated as required.

2. Fair use allowance

The current client allowance implemented in the platform is 25 Assistant messages per day per client user.

Administrator limits are internal operational settings and are not part of this published allowance.

The allowance may be adjusted for reasonable technical, cost or security reasons. Where a change is material to clients, R3 will give notice.

3. Prohibited use

  • Bots, scripted clients or other automated systems driving the Assistant or the portal.
  • Bulk automated extraction, scraping, crawling or mirroring of R3 content or client records.
  • Sharing credentials, or allowing an unauthorised person to use your access.
  • Attempting to evade rate limits, quotas, authentication, multi-factor requirements or other security controls.
  • Probing, load-testing or attacking the platform without written authorisation.
  • Submitting content designed to manipulate the Assistant into disclosing another client's information.

If you need a legitimate bulk extract, request a standard data export instead — see the Data Export Policy.

4. AI output is not advice

The Assistant does not provide legal, tax, accounting, financial product, investment, wagering, veterinary or training advice, and nothing it produces should be treated as such.

Racing and ownership decisions carry real financial and welfare consequences. Obtain qualified professional advice for anything material.

5. Information you submit

Only submit information you are authorised to provide in relation to your own portfolio.

Minimise unnecessary personal or sensitive information. The Assistant does not need identity documents, banking credentials, health information about individuals, or personal details about third parties who are not part of your portfolio administration.

6. Human responsibility

You remain responsible for decisions you take. AI assistance does not transfer that responsibility to R3, and it does not make a figure authoritative simply because the Assistant restated it.

Where a number matters — a return, a cost allocation, a tax position — verify it against the underlying record or report.

7. Fair use for read-only stakeholders

Read-only access exists for bona fide owners, partners, syndicate members and professional advisers with a genuine interest in the portfolio.

  • Each stakeholder should have their own named access — no shared or public credentials.
  • Access must not be used to build a competing dataset or to redistribute R3 reports at scale.
  • Access can be withdrawn where a person no longer has a genuine interest in the portfolio.

8. Enforcement

R3 may apply technical limits, suspend a session, or restrict a feature where use threatens platform security, reliability or another client's data.

Where practical and safe, R3 will contact you before restricting ordinary use.

Nothing on this page limits or excludes rights you have under the Australian Consumer Law or other laws that cannot lawfully be excluded. Where any wording here conflicts with those rights, those rights prevail.
